Reducing no-shows in patient appointments
Every patient who misses a video consultation or a treatment date means wasted ad spend and an empty slot in your schedule. Here are the steps that bring no-shows down.
In health tourism there are two kinds of appointments: the online consultation with a specialist, and the day the patient travels to Istanbul for treatment. Both have no-shows. Every patient who doesn't turn up means the ad spend it took to find them, and your team's time, has gone to waste.
Why patients don't show up
- The appointment is too far away. As the days pass, interest fades and the appointment is forgotten.
- Time zones get mixed up. Is “Tuesday 2 pm” London time or Istanbul time?
- They don't know why the call matters. An appointment that doesn't feel important is easy to skip.
- It's unclear how to join. They can't find the link, or haven't installed the app.
- They're undecided. Instead of saying “no”, they simply don't come.
Steps that reduce no-shows
- Book the appointment soon. Set up the call while the enquiry is still warm. That depends on a fast first reply; we explain why in our article on the first reply.
- Write the time in the patient's time zone. For example, “Tuesday 2 pm (London time)”. Even better if your booking calendar does this automatically.
- Set up confirmations and reminders. Send a confirmation the moment the appointment is booked, then reminders a day before and an hour before. Each message should include a one-tap link to join and an option to reschedule if the time no longer works.
- Explain the value of the call. A line like “In these 15 minutes, our specialist will review your photos and put together a personal plan for you” makes the appointment feel worth keeping.
- Message no-shows the same day. “Sorry we missed you. Shall we find a new time?” keeps the door open without blame. This message can go out automatically; your representative takes it from there.
Extra steps for treatment day
After the consultation, the most important appointment is the day the patient travels to your clinic.
- Get flight and hotel details early. Once they're confirmed, so is the date.
- Send a pre-travel checklist. A week before and a day before: transfer details, the address, what to bring and a contact person.
- Make deposit and cancellation terms clear from the start. Whatever your clinic's policy is, the patient should know it when they book.
You can't fix what you don't measure
Mark the outcome of every appointment in your CRM: attended, missed or rescheduled. You'll see your no-show rate every month and know which steps are working. We explain how to measure your sales pipeline in this article.
Most patients who miss an appointment aren't acting in bad faith; they forgot, got confused or couldn't decide. A well-built reminder flow is designed to head off all three.
